Who we are

ADLIV Host Limited (ADLIV Host, we, us) provides and manages short-stay accommodation in Thanet, Kent. We are registered in England and Wales under company number 12984193. Our registered office is 6 Blenheim Court, Peppercorn Close, Peterborough, Cambridgeshire, England, PE1 2DU.

This notice covers guests, people making enquiries, company travellers, property owners and visitors to adliv.co.uk. ADLIV Host is the controller when we decide why and how your information is used for our enquiries, bookings, services and business records. Booking platforms and other organisations may also use information for their own purposes under their own privacy notices.

For privacy questions, rights requests or complaints, email info@adliv.co.uk, call 01843 261600, or write to our registered office, marked for the person responsible for data protection.

Information we use and its sources

Depending on the service, information includes names and contact details; the property, stay dates, guest numbers and booking reference; booking and service messages; company invoicing details; payment status and transaction references; and information about complaints or damage claims. Owner records may include property, ownership, service, statement and payment information.

We receive information from you, the lead guest, your employer or another authorised person arranging the stay. We also receive booking information through Airbnb, Booking.com and other booking platforms and use Hostfully to manage reservations and communications. If you supply another person’s details, give them this notice and provide only what is needed.

Website and embedded-service providers may receive your IP address, browser/device details and information about pages or services requested. Payment providers collect the payment information needed for their service; do not send full card details or security codes to us by email or chat.

Why we use information

We use information for the purposes and lawful bases below. Where we rely on legitimate interests, these are balanced against the rights and interests of the people concerned.

Purpose Lawful basis
Respond to your enquiry, arrange your booking and provide accommodation or management services to you Steps you request before a contract and performance of that contract
Administer a stay arranged by a lead guest or employer, communicate with accompanying guests, and coordinate property services Legitimate interests in delivering and managing accommodation
Manage owner relationships, statements and service payments Contract with an individual customer; otherwise legitimate interests in administering the business relationship
Keep legally required tax/accounting records and respond to lawful official requests Legal obligation where a specific duty applies
Investigate complaints, manage evidenced claims, prevent fraud and protect people, properties and systems Legitimate interests in security, fair claims handling and protecting the business; legal obligation where applicable
Optional marketing and technologies that require consent Consent where required; any other lawful exception must meet its applicable conditions

If essential booking, contact or payment information is not supplied, we may be unable to arrange or provide the stay. Optional marketing consent is separate from a booking.

Property-specific checks and monitoring

Requirements differ between properties. Where identity, age or address checks, guest screening, external CCTV/doorbell cameras, noise monitoring or access logs are used, read the disclosures for the particular property and booking. An overarching notice does not mean every property uses these measures or authorise a device that has not been disclosed.

The relevant information should explain who operates the measure, its purpose, the information recorded, who receives it and the retention arrangements. Contact us before booking or supplying identity documents if anything is unclear. Security and identity checks are used only where relevant and proportionate to the stay, security needs or a legal requirement.

Please avoid unnecessary health or other sensitive information. If you ask us to consider accessibility or other needs, we use the information for that request and explain any additional permission or legal condition required before further use. You may withdraw consent where it is the basis of that use.

Booking and communication systems may include automated tools. If screening or another automated process affects your booking, you can contact us for an explanation and request human consideration. Where a solely automated decision has a legal or similarly significant effect, the applicable information and safeguards must be provided; these terms do not remove those rights.

Who receives information

Information is shared as needed with authorised ADLIV team members, relevant property owners, cleaners or maintenance contractors, reservation/channel providers, booking platforms, payment providers, website/IT suppliers, professional advisers, insurers and public authorities where there is a lawful reason. Contractors should receive only the information needed for their task.

Our website provider is Boostly. Website hosting uses Kinsta; booking functionality uses Hostfully; payment features include Stripe; and Instagram/WhatsApp widgets use Elfsight. Suppliers’ responsibilities depend on the service: some process information on our instructions and some also have their own legal responsibilities.

Read the relevant supplier information: Hostfully privacy policy, Stripe privacy policy, Elfsight privacy policy and Kinsta data-processing terms. A platform used to make a booking has its own notice.

International processing

Some service providers operate internationally and may process information outside the UK, including in the EEA and the United States. Provider locations and safeguards depend on the service and processing involved.

A transfer restricted by UK data-protection law requires an applicable UK adequacy arrangement, appropriate safeguards such as approved contractual terms, or another valid legal route. Kinsta’s published data-processing terms describe its contractual transfer provisions; Stripe explains its transfer mechanisms in its Privacy Center. Contact info@adliv.co.uk to ask about the arrangements for a particular service or obtain information about relevant safeguards. This notice is not consent to an otherwise unlawful transfer.

How long information is kept

Retention depends on the purpose and category of record; there is no blanket seven-year period for all information.

Record Retention criteria
Enquiries that do not become bookings The time needed to answer and close the enquiry and deal with relevant follow-up or complaints
Booking, guest and owner-service records The service relationship and any applicable accounting, complaint, insurance or legal-claim requirements
Invoices and financial records The statutory accounting/tax requirements applying to the relevant record and any related dispute
ID checks, screening, access logs and monitoring records The particular property’s disclosed purpose and period; any relevant incident or claim may justify retaining necessary evidence longer
Marketing choices While the permission or other lawful basis remains valid, with a limited suppression record where needed to respect an opt-out

Information should be deleted or anonymised when no longer needed for its lawful purpose. Supplier and backup deletion arrangements may differ from the live booking record. Contact us for the period or criteria applying to a particular record or property; do not assume every camera, check or platform has the same retention.

Cookies and embedded services

Cookies and similar technologies can support website functions, security, booking and payment features, and optional analytics or embedded content. Some involve personal information; they should not all be described as anonymous.

Use Cookie settings to view and change the choices provided by the website. The banner provides rejection, settings and acceptance options, and a Cookie settings control allows you to return to those choices. Scrolling, waiting or continuing to browse is not consent to technology that requires it.

The site includes Hostfully booking tools, Stripe payment features, Elfsight Instagram and WhatsApp widgets and OpenStreetMap maps. When a service loads, its provider may receive technical information. Opening Instagram or WhatsApp takes you to that provider’s service. The relevant provider’s privacy/cookie information applies to its own processing.

You can also control cookies through your browser, although blocking essential technologies may affect requested functions. The cookie categories, durations and third-party behaviour depend on the services used; contact us if you need information not shown in the settings.

Marketing choices

Service messages about an enquiry or stay are separate from optional marketing. Use the unsubscribe link in a marketing email or contact info@adliv.co.uk to change your preference. Withdrawal does not affect processing that was lawful before it.

You may object at any time to the use of your information for direct marketing. We will stop using it for that purpose.

Your rights

Subject to the circumstances and applicable law, you can request access, correction, erasure, restriction or a portable copy of your information. You can withdraw consent where we rely on it.

You may object to processing based on legitimate interests because of your particular circumstances. We will consider the request and explain any lawful grounds for continuing.

Contact info@adliv.co.uk to exercise a right. We may ask for proportionate information to verify your identity and will explain the outcome within the applicable time limit. These rights have legal conditions and exceptions.

Privacy complaints and changes

Email info@adliv.co.uk with the subject Data protection complaint, explaining your concern and the outcome you seek. You can also write to the registered office above. You do not need legal language, and you can ask for help using another accessible contact route.

We will acknowledge a data-protection complaint within 30 days, investigate appropriately, keep you informed and communicate the outcome without undue delay. You can also complain to the Information Commissioner’s Office. Contacting us does not remove your legal rights.

We review this notice when practices or relevant requirements change and explain material changes where appropriate. Publishing a notice or continuing website use does not replace consent where consent is required.
